Introducing Workspaces

Welcome to an introduction to the new Workspaces functionality. Our goal is to bring structure to your research, and to offer a secure platform for developing and sharing reproducible methods. Workspaces is a change that we’re making in an effort to simplify and streamline the overall process of managing your research on protocols.io.

What’s New

Workspaces is formerly known as Groups, and is private by default. Any Groups that you currently have on protocols.io will now be referred to as Workspaces. Just as you could previously invite members to a group, you can also do so in Workspaces.

It is also important to note that public content will not change. If you have something published and associated with a Group, the overall access and viewing will be the same, it will now be referred to as Workspaces.

Protocols that are shared with you will remain in the platform. There will be a section in which you can view all files across different Workspaces, and you can also access files that are shared with you.

We have also updated user profiles, which allows for a new way to create protocols from a user interface standpoint. This can be done by going to the left side menu, and selecting the + sign, which is where you will see the option to create a protocol.

If you click on new protocol, you will then be asked to choose a folder within one of your Workspaces. You will then be prompted to pick what type of protocol or document you would like to create.

Another update to the platform is for simplifying components.

Components will be tailored to your specific needs, and you will also be able to access all of the components in one place.

A favorite feature has also been implemented to the new layout. This means you will be able to select the primary components you use and favorite them. Any item that you favorite will appear in its own tab. You will be able to access any of your favorites by selecting the star button in the new layout.

Once entering Workspaces, you will be prompted to a flow that showcases your existing Workspaces. You will then be asked to choose a name for your Workspace if you don’t already have an existing one. Once that is done, all of the files that are currently in the My Files folder on your protocols.io account will be transferred over to a Workspace.

Once this is complete and you are in the Workspace you can see that the My Files icon is no longer there. Any new files, protocols, documents, or collections will be assigned to a Workspace. This means that all files are associated with Workspaces. This allows for simplification throughout protocol and document creation, and workspace management.
